Board Meeting Minutes - June 2026

NMMBA Board of Directors Meeting

Date and location: Wednesday, June 10th, 2026 Oryana Co-op West


Board present: Mike Walters, Tim Reicha, Kim White, Brian Pugh, Chad Jordan, Heath Day, Tom White, Alex Primeau, Magrarete Wanley, Chuck Hathaway and Steve Mentzer


Board absent: Chad Schut and Michele Andrews

Mission statement —-------> It is our mission to Envision, Build and Protect the mountain bike experience while respecting all forest users and uses.


Mike called the meeting to order at 6:09pm.


May meeting minutes were approved online.


Treasurer position:

  • Exec Committee to discuss refinement of future Treasurer responsibilities vs engaging in paid accountant services (eg. payroll administration, tax filing, monthly balance sheet reviews, periodic financial audits). 

Kim stated that she was still planning on transitioning out as board treasurer but is willing to stay engaged to file the organization's 990-EZ tax form. 

Kim also spoke of contracting a paid accountant to handle administering all functions of Quickbooks.

She also stated that a bookkeeper would charge anywhere from $50 to $100 per hour for services.


PT Coordinator position:


Four applicants were interviewed by members of the executive committee.


The committee was impressed by all applicants.

Discussion regarding the applicants and their resumes followed.


After further discussion Tim made a motion to extend an offer to John Roe with a start date of July 1st, 2026. The offer would also include a full job description.

Chuck provided the 2nd and it was followed with a vote to approve.


Financials:

Kim provided the board with financials complete through April.

May was still being processed.

General fund stood at $34,274.61


Grants: 

There were no updates submitted.


TCTN:

Brian provided the board the latest updates.


  • The next VST-B trail network wayfinding design and development meeting with Corbin Design will be held on Wednesday June 17th from 6:00 to 7:00.

  • Supply Rd VST Trailhead: 2026 projects:

    • On Tuesday June 16th, a workday has been scheduled to place the fire ring and install the benches at the pavilion fire pit area.  The trail crew will join the effort later in the day to install the stone pathway between the parking lot and fire pit.

  • Trail Development Proposals:

    • Colin O’Brien will lead a dedicated workgroup to facilitate the submission of the Wasa (Westwoods) DNR trail development proposal.

  • Membership letters, stickers/2026 bands. Rachel Decker prepared membership letters, stickers and bands for new members/renewals which will be mailed out. 

  • Greilick Park Update and Brown Bridge connector trail update.  The Brownbridge Advisory Committee voted to allow bicycles to use the connector trail on the east property boundary.  The City Commission will have the final vote to approve bicycles.  The Greilick property is set to be opened no later than September 30th.  Trails do not have to be complete by then, but the property is open by then.

  • The single track connecting Muncie Lake to Dollar Lake has been cleared and all the large downed trees have been removed.

  • The single tracks in the Greilick Park have been opened, but reroutes are being discussed/planned to keep trail users further apart.  Trail walk scheduled for July 7th.


Cadillac Pathway:

Michele provided this latest update.

TRAIL BUILD:  The contractor has completed their work for the trail build.  The DNR is in the process of GPS'ing the entire trail network and all new signs will be installed on the trail.

 

PAVILION:  The pavilion was stained by Sharp Painting Service's last week.  They power washed, bleached and sanded before applying a new coat of stain. It turned out great.  



Bike Leelanau:

No report submitted.



Glacial Hills:

Volunteers are installing a Nature Garden at the Orchard Hills trailhead.

14 were on hand to get things started.


Acme Bike Park:

No new updates were submitted.


Merchandise updates:

Chad provided the latest update on merch.

He discussed a proposal from Daylight Brand for Samurai Squirrel shirts; the Board can consider buying shirts/holding inventory vs. getting 20% from the sale of each shirt that the vendor sells/delivers.

In addition to T’s, Daylight also offers hoodies and other branded apparel.

Chad will email the board with updates as he receives them.


TCTF:

  • Sponsorship discussions

    • Timber Ridge confirmed as Venue and Race Plate sponsor; offering 10% campsite discount for registered racers if they mention that they are part of the race, no minimum night stay with campsites but there is a 2 night minimum for units (cabins, parkhomes, yurts, etc). Must call reservation line to reserve and receive discount, 

    • Stone Hound confirmed as Title Sponsor

      • Liquor License application update Pugh

    • Other sponsorship responses included discussion with Mickey Graham Traverse City Tourism. 

    •     Other committed sponsors include:  Great Lakes Stainless/UP Bike, Brunette’s Superior Heating and Cooling, Einstein Cycles and Brick Wheels.   

  • DNR event permit submitted & paid

    • On June 9th the DNR approved the event permit, additional permits are in process

  • Norte Communication and race partnership management new point person. Alex to head this up.

  • Rob Meendering communication. The cost will be $1000. Heath to head this up.

  • Improvements/recommendations from 2025 race (email thread)

    • Volunteer recognition (beer tokens/t-shirts?), first aid provider on site, racer recovery table at finish line etc.

    • The board briefly discussed recommendations from the 2025 race and concluded to discuss at the July meeting. Brian and Tim will reach out to line up nurse(s) to assist as first aid providers during the race. 

    • Image360 will be asked to include starting line directions to the no parking signs.

    • Brian will also contact Cherry Capital Cycling Club(CCCC) to set up and work an aid station.


Winter Trails:

Shop/Community Rides: The new NMMBA Monday Night Community Ride has been a great success. It seems to be building a little bit every week.The last two weeks we have had 25 to 30 riders and have split into groups. The slower and faster groups have had lighter numbers than the medium groups.There are a lot of old faces with a few new ones every week. 

TC Rim Bender, a youth mtb team headed up by Bill Gehringer will be contacted by Tom to have them join our Community Shop rides on Monday nights. 


Commons Bike Park:

MOU and draft trailbuilding RFP have been provided to Township and we’ve followed up since with no feedback yet. Will continue checking on status. 


Hickory Hills:

MOU and draft trailbuilding RFP have been provided to the city of Traverse City. The city has opened up bids for construction of approximately 6.3 miles of trails.Bids are due on July 10th.



Old Business:

Board profile updates.

New board members will provide info to be uploaded to the website.


New Business:

With some communication issues popping up with the present insurance carrier, Steve will pursue some other options regarding carriers.
